What is Teambook?
Teambook is a real-time visual planning web application for anyone who needs to manage the planning of their team. Teambook is used mainly in Professional Service organizations, for example marketing & advertising agencies, IT companies and consultancy firms.
In general Teambook is about strategic project resource planning. It allows project managers to book a team on projects based on the hours and skills required to deliver a successful project to their customers. Teambook also allows the tracking of internal activities and time-off periods, providing a helicopter view to the management.
From a consultant or resource perspective, Teambook provides information regarding upcoming planned activities. Such information can be either viewed on Teambook or automatically synched on most calendars. Basically, Teambook facilitates your resource planning: who works on what and when.
What are the supported languages?
Teambook is currently available in English, German and French. More languages may be added. The language is set at the account level in its settings but can also be amended at the user's profile level. Our support team can support you in English, German, French and Spanish.
How does Teambook deal with Teams and users plannings
While most of the smaller companies usually run as a single Team, larger ones may manage multi-offices, departments or teams spread around the world. For such cases, Teambook provides the concept of Teams.
A Team is basically a set of users that can be planned in a consistent manner, by dedicated planner and / or project managers. This is very useful for eg. for organizations sharing a pool of competencies spread in different locations or business units. This feature gives also large flexibility to handle different teams with different bank holidays or Time-off bookings.
While a user may be part of several Teams, Teambook will ensure that it cannot be double-booked. To do so, the bookings set in a Team will appear shaded in the other planning board of the other Teams this person belongs to.
What can I do with the tags feature?
With Teambook, users can be filtered by using tags, helping planners find the right resources based on skills, experience or any other criteria you have established with tags.
Can users see their plannings in their personal calendars?
Indeed, they can synchronize their personal calendar with Teambook's bookings. The following calendars are supported, and any other calendar that supports iCalendar feeds should also support syncing with Teambook:

What are the indicators to measure the performance and billing efficiency of my company?
In the Reporting section, you have access to a graph with 4 key metrics:
1. Productivity: the percentage of the Bookable Hours that has work hours booked (no matter whether they are billable or not). If your Productivity rate is 95%, it means 95% of the Bookable Hours are indeed booked. The objective is of course to be at 100% to ensure nobody is waiting on the bench.
2. Time Off: the percentage of Bookable Hours booked on Project considered as Time-Off. These hours are planned and may represent up to 10-15% of your workforce total available time, with some peaks during holidays.
3. Utilization: the percentage of the Bookable Hours that has billable hours booked. If your Utilization rate is 75%, it means 75% of the Bookable Hours are booked for billable projects your customers will pay for.
4. Availability: the percentage of Bookable Hours that has no work hours booked. Simply put, it's the overall free working time. Here, at the opposite from the Productivity metric, the objective is to be at 0%.
Can I share the Project Resource Plan with my clients?
Yes! Keep your clients (or a 3rd party) informed about their project’s progress by sharing with them their very own direct link. A Direct Link will display members that work on the customer’s project and related bookings. That way, your customer knows when your team is working on their project and when they are on site or not.
Do all the Teambook LTD plans really include all the product features and unlimited users?
That’s correct: unlike most of existing employee and project resource planning tools, Teambook doesn’t charge per user. Our goal is to help all types of small and medium companies (SMEs) and the only difference we set between the different plans is the maximum number of active projects (40, 100 or 200).
